BACKGROUND
The healthcare company has a network of clinics and research facilities in the Pacific Northwest. For the past five decades, it has led the way in researching and treating cancer
and other diseases. The company has used eMaint since 2018

CHALLENGES
Standardizing eMaint X5 was a major undertaking that required retraining thousands of employees while avoiding interruptions to critical infrastructure across campuses.
Together with the eMaint team, the company trained its 6,000 employees while continuing to provide the highest level of customer service.
IMPLEMENTATION
Every company employee, from operating engineers to construction technicians, attended on-site training sessions to learn about new eMaint X5 capabilities and how to use them.
The healthcare company also held frequent meetings with a designated Customer Success Manager to ensure migration was executed with as little disruption to operations as possible.

- Improved reporting visibility: Customizable dashboards and reporting make monitoring company operations a breeze. “I use it as a visual tool to see the data and see how my team is doing,” says the Controls and Critical Systems Supervisor. “I can confirm PMs are completed on time.”
- Audit compliance: Since the company is a healthcare provider and a research facility, it’s subject to various audits by governing bodies like the FDA, the Joint Commission, the Department of Health, and the Fire Department. Now that eMaint X5 is in action, it’s easier to prepare and plan for audits, as well as provide documentation for a follow-up when necessary. “If we find deficiencies from a fire system test, I can create follow-up work orders in response,” explains the Facilities Engineering Program Manager. “Then we have an audit trail, so when the fire department asks, ‘Hey, how’d this report go?’ I can say, ‘Here are the deficiencies and here’s our follow-up work order,’ and present the completion notes to them.”
- Improved staff usage and faster work orders: Many staff members are nurses focused on providing the best patient care possible. With eMaint X5, staff members can easily log in, submit a work request, and quickly return to their tasks. “In a matter of minutes, they’ve put the request in,” says the Facilities Engineering Program Manager. “And it makes our job easier, because we’re finding out in real time when issues are present.”
- Increased on-time work order completion: The maintenance team is tasked with keeping critical systems running, and each work order must be completed within a certain timeframe. With eMaint X5, the maintenance staff has considerably increased on-time work order completion. “The visibility of the dashboards we have set up has absolutely improved how we meet our KPIs,” says the Facilities Engineering Program Manager. “We used to live in the yellow; now we’re in the green.”
- User-friendly UI: “When it comes to building reports, the UI is very straightforward,” explains the planner scheduler. “I was able to pick it up within the first week and realized we can make any report we want. The intuitive dashboards make it simple to pull up what my team needs.”
- Fluke tools: The healthcare company trusts Fluke tools to provide unmatched reliability. While not yet implemented, X5 can seamlessly connect with tools and access readings. “We can trust the devices that come from the Fluke product line,” says the Facilities Engineering Program Manager.
“We have a lot of people, and it required a lot of buy-in,” said the Facilities Engineering Program Manager. “Once we crossed over, we could see the progress and the goods of all that hard work.”
